How much does a Hunter Valley wedding cost at White Barn?
Guide pricing is per adult and depends on your wedding year, season, day type, guest count, and package tier. Classic, Luxe, and Signature bundles venue hire (when minimum guests are met), catering, beverages, coordinator support, and tier-specific styling. Use the wedding packages planner for a personalised estimate.
What wedding packages do you offer?
White Barn Pokolbin offers Classic, Luxe, and Signature all-inclusive wedding packages for 70 to 150+ guests, plus micro weddings (up to 40 guests, Monday to Wednesday) with chapel, reception, dining, drinks, and guest house options. How much deposit is required to secure my wedding date?
A non-refundable deposit of $2,000.00 is required to secure a wedding date reservation at White Barn Pokolbin. The deposit is required within 7 days of a tax invoice being issued. We do not reserve or take temporary bookings. Contact our team to check availability for your date.
Are there hidden fees?
Packages list inclusions and minimum guest numbers upfront on our wedding packages page. Optional extras such as extended drinks service, guest house nights, or styling upgrades are quoted separately on the optional extras page during planning.
Can I customise my wedding package?
Yes. Start with Classic, Luxe, or Signature on our wedding packages page, then layer optional upgrades such as White Chapel ceremony, guest house stays, extended beverage service, or styling enhancements from optional extras. Your coordinator confirms the final quote after your site visit.
What is included in the package price?
All-inclusive wedding packages bundle venue hire (when minimum guests are met), in-house catering, beverage service, day-of coordinator, tables, chairs, glassware, and signature styling pieces. Is there a minimum guest count?
Standard Classic, Luxe, and Signature packages are designed for 70 to 150+ guests depending on tier and layout. There are no venue hire fees when minimum adult numbers are met. Micro weddings (up to 40 guests, Monday to Wednesday) follow separate pricing.
When is my final price confirmed?
Figures on the website are guide pricing to help you shortlist. Your dedicated coordinator confirms the final quote after your site visit, based on your date, guest count, tier, and selected upgrades.

Why choose White Barn instead of a winery?
White Barn Pokolbin is a private wedding estate with exclusive use, not a working cellar door sharing space with public guests. Ceremony in the climate-controlled White Chapel, cocktails in the gardens, and reception in the purpose-built barn happen on one address with in-house catering, bar, and coordinator bundled into all-inclusive wedding packages.
What makes White Barn different from other Hunter Valley wedding venues?
White Barn opened in 2020 as a purpose-built Hunter Valley wedding venue: chapel, barn, kitchen, bar, and coordinator roles designed together. Transparent Classic, Luxe, and Signature packages, onsite guest house accommodation, and 600+ celebrations hosted make it a complete Pokolbin estate rather than a hire-only function space. Ceremony & Reception

Capacity, timings, the White Chapel, and weather backup for your Hunter Valley wedding day.

Can we hold both our ceremony and reception at White Barn?
Yes. Many couples marry in the White Chapel or gardens, enjoy cocktails on the lawns, then continue to the barn for dining and dancing without leaving the Pokolbin estate. Ceremony, reception, and accommodation can all happen at one Hunter Valley wedding venue.
How many guests can White Barn Pokolbin accommodate?
The White Barn reception venue accommodates up to 150 guests for alternate-drop or shared plate receptions. Reduced rates apply for children: 0 to 5 years free, 6 to 12 years $30, 13 to 17 years $60. Children do not count towards minimum guest numbers for wedding package pricing.
Is the White Chapel included?
White Chapel ceremony is included in Signature tier packages and available as an optional upgrade for Classic and Luxe. Explore the White Chapel experience or compare tiers on our wedding packages page.
What is the difference between Classic, Luxe, and Signature packages?
Classic is the entry all-inclusive tier with two-course dining and core styling. Luxe adds a third course, dessert canapé table, and enhanced styling inclusions. Signature is the premium tier with White Chapel ceremony, extended styling, guest house accommodation, and the fullest beverage and menu experience. What time does my ceremony and/or reception start?
For Sunday to Thursday events, ceremony is 2:00pm or 2:30pm depending on time of year and reception entry is 5:00pm. For Friday and Saturday events, ceremony is 3:00pm or 3:30pm and reception entry is 6:00pm. Your coordinator confirms exact times during planning after your site visit.
Can we have an outdoor ceremony?
Yes. Garden and lawn ceremony options pair with every package tier when weather allows. Many couples choose the White Chapel for a climate-controlled backup while still using the gardens for portraits and cocktails.
What happens if it rains on our wedding day?
Ceremony moves to the air-conditioned White Chapel and reception stays in the barn. Garden cocktails can shift under covered outdoor areas depending on conditions, so your Hunter Valley wedding proceeds without waiting on weather.
Is the White Chapel air conditioned?
Yes. White Chapel is fully air-conditioned and comfortable in every season. Indoor ceremony removes the uncertainty of outdoor weddings in peak Hunter Valley summer or midwinter.

Food & Drinks

What food is included in our wedding package?
All tiers include roaming canapés and either shared or alternate-serve mains. Classic offers two courses; Luxe and Signature add a third course and dessert canapé table. See menu depth and chef-led dining on our food and beverage page and full inclusions on package inclusions.
Is a beverage package included in my wedding package?
Weddings hosted in the barn include a five-hour beverage package. Micro-weddings hosted in the chapel include a four-hour beverage package. Extended drinks service between ceremony and reception is available on our optional extras page. See curated wines and bar service on food and beverage.
Can I bring my own alcohol?
No. White Barn Pokolbin is a fully licensed Hunter Valley wedding venue, so all beverages are supplied through our wedding packages in accordance with NSW Liquor and Gaming requirements. Explore curated wines and bar options on our food and beverage page.
Can we personalise the menu?
Yes. Menu selections are refined with our in-house chef after you book. Dietary requirements, cultural preferences, and tier-specific courses are coordinated during planning. Start with what each tier includes on package inclusions and food and beverage.
Can we accommodate dietary requirements?
Yes. Vegetarian, vegan, gluten-free, and allergy-aware options are coordinated with the chef during planning. Share guest dietary needs early so menus are confirmed before your tasting appointment.
How do I arrange a tasting with the chef?
Once White Barn Pokolbin has been engaged as your venue, your details are passed to our in-house chef who contacts you to arrange a tasting at his nominated premises. Tasting fees apply and are paid directly to the chef. Review menu inclusions on food and beverage before your appointment.

Accommodation

Onsite guest house stays and Hunter Valley accommodation for your wedding weekend.

Do you have onsite accommodation?
Yes. The White Barn guest house sleeps up to six in three bedrooms with en-suites, full kitchen, living areas, deck, and plunge pool. It sits minutes on foot from the White Chapel and barn reception on the same Pokolbin estate.
Where do guests stay for a Hunter Valley wedding?
Your wedding party can stay in the onsite guest house (included or available depending on package tier). For larger guest lists we recommend trusted local accommodation across Pokolbin and the wider Hunter Valley wine region.
Is there accommodation nearby?
Yes. Beyond the onsite guest house, Pokolbin and the Hunter Valley offer hotels, vineyard stays, and holiday rentals within a short drive. Your coordinator can share recommendations suited to your guest count and budget.
Do you recommend shuttle buses for guests?
Yes. We recommend a local shuttle service for guests staying in nearby Hunter Valley accommodation, especially when celebrating across the wine region before returning to Pokolbin. Onsite parking is available for guests who drive.

Planning Your Wedding

Vendors, styling, music, and practical questions couples ask while building their run sheet.

Can I have external vendors or suppliers at White Barn?
Yes. All vendors must hold a valid ABN and provide public liability insurance with no less than $20M coverage at least 30 days before the event. Vendors need approval from White Barn Pokolbin before operating on your wedding day. See our preferred vendors page for inspiration.
When can my decorator access the venue?
Access is from 9:00am the day of the wedding.
Do I need to remove all of my decorations at the end of the night?
Yes. All items, gifts, and styling pieces need to be packed down at the end of the night to allow for cleaning after the reception.
Can we have a live band or DJ?
Yes. Most couples arrange a live band, DJ, acoustic duo, or curated playlist for dancing and speeches. Our sound system supports professional entertainment. Review what the venue supplies on package inclusions.
Can we bring cultural catering or personalise menus further?
Core reception dining is prepared by our in-house executive chef within your package tier. Cultural dishes, family recipes, or additional courses can often be coordinated during planning. Start with tier menus on food and beverage and discuss options with your coordinator.
Can we host a recovery brunch?
The guest house kitchen and deck suit relaxed recovery breakfasts for your wedding party when accommodation is booked. Larger brunch events for all guests are coordinated case by case: mention plans early so we can advise capacity and timing.
Are dogs allowed in wedding photos?
Assistance animals are welcome for the duration of your ceremony and reception. If your animal is part of your wedding ceremony, it may remain on site until the reception begins so you can include it in photography on the estate.
Do you allow children at the venue?
Children and babies are welcome but remain the full responsibility of their parents or carers. White Barn Pokolbin is in a rural Hunter Valley setting with unfenced dams and wildlife, so supervision is important.

On the Day & Venue Policies

Finish times, parking, cancellations, and operational policies for booked couples.

Does White Barn Pokolbin have parking?
Yes. White Barn has onsite car parking including disabled parking on the Pokolbin estate. We recommend guests staying locally use a shuttle service where practical.
Will the car park be locked at night?
Yes. The car park is locked after each event and reopened to collect cars the next day between 9:00am and 9:30am. Gates are then locked until the following business day.
What time will my function finish?
Operating conditions require an 11:00pm finish for guests on Friday and Saturday and a 10:00pm finish Sunday to Thursday. All guests must vacate at the finish time and vendors must vacate within 30 minutes. Late exit incurs additional charges.
What happens if I cancel my wedding?
If you need to reschedule, we work with you to move the booking to a suitable date and all monies transfer. If your booking needs to be cancelled, please refer to your terms and conditions provided at time of booking. Contact our team as early as possible if your plans change.
Do you allow animals at the venue?
Assistance animals are welcome for the duration of your ceremony and reception. Our staff will ensure your guest and assistance animal has suitable provisions. Ceremony animals may remain for photography until the reception begins.
Can we have a sparkler exit?
Sparkler exits are subject to approval by White Barn Pokolbin before the event. All sparkler exits (or similar) must finish by the nominated finish time. Refer to your terms and conditions for information regarding damage caused by sparklers.
Can we have fireworks?
White Barn offers indoor sparklers for all barn reception weddings. Micro-weddings do not include indoor sparklers.
Is the venue wheelchair accessible?
Yes. The White Barn reception space and White Chapel offer accessible routes from onsite parking. At your site visit we walk the path and discuss any mobility, hearing, or other access requirements for your guests.
